Logging Your Practice Hours
Logsage makes it easy to record and track all of your professional practice activities. Here's how to create entries, use voice transcription, and understand the different activity categories.
Creating a New Log Entry
Navigate to the “Log Entry” page (or “New Entry” in the navigation). Select the category of your activity (Client Contact, Client-Related, Supervision, or Professional Development), fill in the details like date, duration, description, and any relevant client or supervisor information. You can save it as a draft or submit it for approval to your supervisor.
- Provisional Psychologists: Track your 5+1 internship requirements across all four categories.
- Registrars: Your registrar program requirements will automatically adjust based on your registrar program type (6th Year Standard, 6th Year + Doctoral, or 7th Year+).
- Registered Psychologists: Use Professional Development entries to track your CPD activities and learning plans.
Voice Entry vs Typing
Voice transcription is completely optional. You can always type your log entries manually if you prefer.
- Voice Entry (Premium Feature): Available for Premium subscribers, voice transcription allows you to speak your entry details instead of typing. This can save significant time, allowing you to log an entry in about 60 seconds.
- Manual Entry: All users can type their entries directly into the form fields. This is the standard method and works perfectly for all entry types.
You can mix and match—use voice entry when convenient (e.g., during commutes, breaks) and type when you prefer.
How Voice Entry Works
The Voice Entry feature (available with the Premium Plan) allows you to speak your log entry details. A secure AI transcription service (powered by Azure OpenAI, hosted in Australia) will transcribe your audio and intelligently populate the form fields for you.
- Click the microphone button when creating a new entry
- Speak your entry details (date, duration, category, description, etc.)
- The AI processes your audio and extracts structured information
- Review and edit the auto-filled form before saving
Limits: Premium users receive up to 10 hours (600 minutes) of AI voice transcription per month. Your usage resets at the start of each billing cycle.
Privacy: Your audio is processed securely in Australia and is not retained after transcription. The audio file is deleted immediately after processing.
Understanding Activity Categories
Client Contact Hours
Client Contact hours involve direct interaction with clients for psychological assessment, diagnosis, intervention, prevention, treatment, consultation, or providing advice and strategies under supervision.
- For Provisional Psychologists (5+1): You need a minimum of 500 hours of client contact. Up to 60 hours of this can be simulated client contact (role-plays, training scenarios).
- For Registrars: Client contact requirements vary by program type. Some registrar programs require a minimum of 176 hours of direct client contact per year, while others may not have a specific minimum. Logsage automatically tracks your annual client contact requirement based on your program type.
Client-Related Activities
These are indirect activities necessary to support your work with clients and develop your competencies. Examples include reading research for a specific client, case consultation with colleagues, treatment planning, case notes (de-identified), or formal/informal reporting related to client care.
Client-related hours contribute to your total program hours but typically don't have a specific minimum requirement.
Professional Development (PD)
You can log workshops, seminars, conferences, reading, online courses, and other PD activities. You'll specify the type, details, topics covered, and relevant Ahpra core competency areas. Your principal supervisor will need to initial (either in the app or manually) each individual PD entry, in line with Ahpra requirements.
- For Provisional Psychologists (5+1): You need a minimum of 60 hours of professional development during your internship.
- For Registrars: You need a minimum of 40 hours of Active CPD per year.
- For Registered Psychologists: Track your 30-hour annual CPD requirement, along with learning plans and goal setting.
Supervision Entries
Supervision entries track your formal supervision sessions with your supervisor(s). When creating a supervision entry, you'll specify:
- Supervision Type: Individual, group, or other
- Delivery Mode: Direct (face-to-face or video) or indirect (phone, email)
- Supervisor: Which supervisor provided the session (principal or secondary)
- Duration: Length of the supervision session
- Description: Topics discussed, cases reviewed, or learning outcomes
- Clients Discussed (optional): If specific clients were discussed, you can link them (using de-identified client IDs)
For Provisional Psychologists (5+1): You need a minimum of 80 hours of supervision, with at least 50 hours being direct, individual supervision with your principal supervisor.
For Registrars: Supervision requirements vary by program type (40–80 hours total).
Supervisor Sign-off: Supervision entries require supervisor initials. If your supervisor uses Logsage, they can digitally initial entries. Otherwise, they can sign the exported PDF reports.
De-identifying Client Information
It is critical and mandatory that all log entries contain only de-identified client information. The Psychology Board of Australia's Code of Conduct requires that psychologists maintain client confidentiality. Your supervision logbook is a professional practice record demonstrating your development of competencies—it is not a clinical case file.
Ahpra specifically requires that supervision logbooks contain de-identified client information. Your logbook demonstrates your professional activities and hours, not detailed case histories.
Logbook entries are NOT client records. It is your professional responsibility to maintain separate, secure, and identifiable clinical records within your workplace's approved system, entirely distinct from your Logsage logbook.
Examples of personally identifiable information (PII) to avoid:
- Client names
- Addresses
- Phone numbers
- Email addresses
- Specific identifying details (e.g., “the client who works at [specific company]”)
Instead, use:
- Client IDs (e.g., “Client A”, “Client 001”)
- General descriptions (e.g., “adult male client”, “adolescent client”)
- De-identified case details
If you accidentally include PII, you can immediately edit the log entry to remove it. If the entry was already approved by your supervisor, editing it will automatically revert its status to “Pending Approval” to ensure your supervisor re-reviews the de-identified version. Editing Entries After Submission
Yes, you can edit entries. If an entry has been submitted for approval, any edits will reset its status back to “Draft.” If an entry was already approved by a supervisor, editing it will change its status back to “Pending Approval” and require re-approval to maintain compliance and ensure your supervisor reviews the updated version.
Internet Connection
Logsage currently requires an active internet connection. As a secure, cloud-based platform, Logsage needs to connect to the server to save your new entries, sync with supervisor accounts, update your progress, and generate official reports.
